# How to Confirm, Manage, and Close a Deal on Cibocom

> Step-by-step guide to closing a deal on Cibocom: confirm terms, upload trade documents, track shipments, and mark the deal complete.

A deal on Cibocom begins the moment a bid is accepted and ends when both parties confirm that delivery is complete. This guide covers everything between those two points: confirming terms, uploading documents, linking a shipment, tracking milestones, and marking the deal as complete so your trading record stays accurate.

  <Step title="Find the newly created deal">
    When a bid is accepted — by either party — Cibocom automatically generates a deal from the agreed terms. Navigate to **Deals** in the main menu to find it. The deal is created in **Pending Confirmation** status and contains the full record of negotiated terms: product specification, volume, price, currency, Incoterms, and the identities of both counterparties.

  <Step title="Review the deal summary">
    Open the deal and carefully review every field in the summary:

    * **Product** — commodity, species/cut, and specification.
    * **Volume** — agreed quantity in kg or MT.
    * **Price** — agreed price per kg or MT and total contract value.
    * **Incoterms** — the agreed trade term defining cost and risk transfer point.
    * **Parties** — buyer and seller company details and primary contacts.
    * **Payment terms** — as agreed during negotiation.

    If anything in the summary does not match your understanding of the agreed terms, contact your counterparty immediately via the deal's messaging thread before confirming.

  <Step title="Confirm deal details">
    Both the buyer and the seller must independently confirm the deal summary. Click **Confirm Deal** to register your confirmation. The deal moves to **Active** status once both parties have confirmed. Neither party can upload documents or link a shipment until both confirmations are in place.

  <Step title="Upload deal documents">
    With the deal active, upload the relevant trade documents to the deal's document panel:

    * **Contract** — the signed sales contract or purchase order.
    * **Pro forma invoice** — issued by the seller prior to shipment.
    * **Quality certificates** — lab results, species identification, or third-party inspection reports.
    * **Certificates of origin**, compliance declarations, or any regulatory documentation required by the importing country.

    All documents are visible to both parties and timestamped on upload. Keep file names clear and consistent for easy reference.

  <Step title="Arrange logistics and link a shipment">
    Once production or dispatch is being organized, create a shipment and link it to this deal. Click **Add Shipment** on the deal page to open the shipment form. The shipment tracks cargo movement from the origin port to the destination and gives both parties real-time visibility into logistics progress.   <Step title="Update deal status as milestones are met">
    As the trade progresses, update the deal status to reflect where things stand. Milestone statuses include:

    * **Active** — deal confirmed, in progress.
    * **In Production** — goods are being prepared or processed.
    * **Shipped** — cargo is in transit (linked shipment is active).
    * **Pending Payment** — goods have arrived, awaiting final payment settlement.
    * **Payment Received** — seller has confirmed receipt of payment.

    Keeping statuses current ensures both parties share the same view of progress and reduces the need for out-of-band communication.

  <Step title="Mark the deal as Complete">
    Once the buyer has confirmed delivery and all payment obligations have been met, mark the deal as **Complete**. Both parties should click **Confirm Completion** to close the deal. A completed deal is locked from further editing and becomes part of your permanent trading record.

  Cibocom retains a full, immutable record of every deal — including the original bid, all counter-offers, documents, status changes, and messages. This record supports internal audit requirements, dispute resolution, and regulatory compliance. Do not rely on email or external systems as your primary record for trades executed on Cibocom.

Keeping messages inside the deal creates a single, searchable timeline tied directly to the contract — far cleaner than threading emails or text messages. Your team members with deal access can also see the full history without being copied on external messages.
